Certificate Verification Privacy Notice

Effective and last updated: 21 October 2026

Who we are and what this covers. Value Nexus Advisors Sdn Bhd (VNA) is responsible for personal data used in this certificate register. This notice explains how VNA handles certificate-holder data for certificate administration and online verification.

Data and sources. VNA processes the holder’s full name, email address, certificate number, programme title, training date, duration, certificate status, certificate image and QR verification link. VNA obtains these details from the holder, a sponsoring organisation or course administrator, and VNA’s course and certificate records. Email addresses are used for administration and delivery; they are not shown in the public register.

Purposes and public access. VNA uses the information to issue and administer certificates, answer enquiries, maintain accurate records and allow a certificate to be checked. For an active certificate, anyone may search the holder’s name and open the certificate image and its printed details through the public register or QR link. Visitors may copy information they can access online. Replaced or revoked certificates are removed from public search and their links are disabled.

Disclosure and service providers. Public register information is disclosed to anyone who visits the register. VNA uses Exabytes for website hosting and Google Gmail SMTP for certificate-email delivery. These providers process information needed to provide their services and may process it outside Malaysia. VNA may also disclose information where required by law.

Your choice and rights. The information needed to identify and issue a certificate must be supplied; otherwise VNA may be unable to issue or administer it. Public listing is optional. VNA will provide this notice and obtain the holder’s consent before adding a certificate to public search. You may decline or later withdraw consent, and may request access or correction, by contacting VNA. A certificate without public listing may not be searchable online. For an existing listing, VNA will explain any effect on online verification before changing or removing the record.

Retention and security. VNA keeps a certificate record while it is active and for seven years after it is replaced or revoked, then securely deletes or anonymises it unless a longer period is required by law or a dispute. Replaced or revoked certificates are removed from public search and their links are disabled. VNA uses HTTPS and restricted administrator access, together with its hosting and email providers’ security controls, to protect information.
